None of this is exotic — it is routine, predictable, and almost entirely avoidable by starting the paperwork at the same time as the production rather than after it.

Technical Data Sheet (TDS)

Per product. Performance claims, typical properties, application guidance. This is the document your technical customers ask for and your competitors' salespeople will pick apart, so it states what the product actually delivers.

SDS

Safety Data Sheet (SDS)

Per product, in the language your destination requires, in the 16-section format. Required for customs in most jurisdictions and for workplace compliance in almost all of them.

CoA

Certificate of Analysis (CoA)

Per production batch, not per product. Tested results for your specific run against the approved specification — a generic datasheet reprinted with today's date is not a CoA, and a buyer who knows the difference will notice.

COO

Certificate of Origin

Turkish origin, issued through the chamber of commerce. Required for customs clearance in most destination markets and the basis for any preferential duty treatment.

PL

Packing List & Commercial Invoice

SKU breakdown, carton and pallet counts, gross and net weights, HS codes. Prepared to match the physical load exactly, because a discrepancy between paperwork and container contents is one of the fastest routes to an inspection.

Whether your destination qualifies, and under which instrument, depends on the agreement in force at the time of shipment. We confirm the current position at quotation stage rather than working from a list that was accurate two years ago.

How these work

A growing number of countries require goods to be assessed and certified before despatch. If the shipment arrives without the certificate, it does not clear — and in some cases it cannot be regularised after the fact at any price. These programmes are almost always the longest lead item in a private label project, longer than formulation and longer than production.

What determines the timeline

Whether product registration already exists for your destination, whether physical sampling and testing are required, and how quickly the inspection body schedules. We start this process in parallel with production, not after it — but we cannot compress the inspection body's own timetable, and we will not tell you otherwise.

Documentation Failures Usually Start on the Label

Language requirements, mandatory hazard statements, minimum text sizes and required declarations differ by market and are checked at the border. A shipment can carry a flawless document set and still be held because the bottle in the carton does not comply.

This is why labelling rules for your destination go into the artwork at the design stage rather than being discovered at the port.

Where an import licence or local product registration is required in your market, tell us early. We supply whatever supporting documentation the registration needs, but the application itself sits with the importer of record — which is you.

Which Term to Buy On

If you have an established freight forwarder, FOB usually gives you the better landed cost. If you do not, CFR or CIF removes a layer of coordination from your side. We quote on whichever basis you ask for, and if the alternative works out cheaper for you we will say so rather than quietly accepting the better margin.

Documentation Questions

01. When do I receive the documents?

Scanned copies by email before the vessel sails; originals couriered or sent with the shipment as your clearing agent prefers. Tell us which at order confirmation.

02. Can you issue documents in my company's name?

The commercial invoice and packing list are issued to you as buyer. Certificates of origin and conformity documents name the manufacturer — that is ARI OIL — because that is what they certify. Your brand appears on the product; our name appears on the manufacturing certificates. Every private label programme works this way.

03. What if my customs authority asks for something not on this page?

Send us the requirement. Most requests are variations on documents we already produce. Where something is genuinely outside what we can issue, we will say so immediately rather than promising and delaying.

04. Does the SDS need translating?

Into the official language of the destination in most jurisdictions, and into more than one where a market has multiple official languages. We prepare it in the required language as part of the standard set.

05. How far ahead should conformity certification start?

As early in the project as possible, and certainly before you commit to a launch date with your own customers. This is the single most common cause of a delayed first shipment and the one that is easiest to avoid.
